Your health information

Health information we receive as your dental provider, such as your dental records, treatment plans and billing, is protected by HIPAA and handled as described in our Notice of Privacy Practices. You can ask for a copy at any of our offices. This policy explains what happens when you use our website, our text messages and our staff app.

Information you give us

Online booking: your name, phone number and email address, the office and type of appointment you choose, whether you want text reminders, any booking questions you answer, and your login details if you create an account in the booking calendar.

Online booking

Online booking is provided by Acuity Scheduling, a Squarespace company. Information you enter in the booking calendar goes to Acuity and to our office, and Acuity may email you about your booking and can text you appointment reminders if you choose to receive them. The booking calendar also sends information to our Meta Pixel and Google Analytics, such as when you view the calendar and when you book, which may include the type of appointment you chose. Google Analytics may add people who book to advertising audiences that we use in Google Ads. The booking calendar uses Google reCAPTCHA to block spam, and it loads Stripe, which collects device information to help prevent payment fraud, whether or not a card is requested. When you arrive from one of our ads, we pass the ad click identifier to the booking calendar. If you book, we may report the booked appointment to Google Ads using that identifier, so we can see which ads lead to booked appointments. Phone calls

Phone numbers on this website may be replaced with tracking numbers from CallTrackingMetrics that forward to our offices. This shows us which page or ad led to your call. The call-tracking service records call details such as the calling number, the date and time, and the length of the call, and links the call to your visit to this website. If you arrive from a Google ad, Google may show you a Google forwarding number instead, and Google then receives call details such as the caller's area code and the call's time and length. Calls to our offices may be recorded and transcribed for quality and staff training. If a call that came from one of our Google ads leads to a booked appointment, we may report that to Google Ads so we can measure our ads.

The text with your summary or preview contains a link to a page or PDF, kept by an outside hosting service, that can include information about financing. Anyone who has the link can open it, so please don't forward it. Message and data rates may apply. Reply STOP to any text to opt out.

ADNM Team app (for ADNM employees)

ADNM Team is our internal app for ADNM employees. The full ADNM Team App Privacy Policy explains it in detail, in English and Spanish. In short:

ADNM creates every account (a manager adds you, or our recruiting system does when you're hired); there is no public sign-up.
The app stores your name, mobile number, email (if you gave one), role, job title, office, hire date and preferred language, plus a notification token if you allow push notifications.
It records your training activity, such as lessons, quiz answers, scores, points and badges, and when you last used the app. Accounts not used for 30 days are paused automatically (administrator accounts are not).
It stores the practice videos and voice recordings you make, with their transcripts and feedback. ADNM may also publish recordings or transcripts of real calls you took part in as listening exercises that everyone using the app can play or read. Practice video files are deleted after 90 days; the score and transcript stay with your training record.
It keeps work and HR records, such as signed policies (with the time, network address and device type), certifications, time off, incident reports (which can describe a workplace injury) and HR documents that can include your Social Security number, pay, bank details and home address. Only you, your office and regional managers and company administrators can open your HR file; if you are a manager, the other managers of your home office can too.
The app uses the camera and microphone only for recordings and photos you take. It doesn't collect your location, contacts or advertising IDs, and it has no advertising or outside analytics tools. We don't sell information collected by the app.
Google Firebase (Google Cloud) runs the app's sign-in, database, file storage and server functions. Apple and Google deliver push notifications, including their text.
If you allow AI feedback, Anthropic (Claude) and Deepgram process your practice recordings, practice replies and Ask ADNM questions to transcribe, grade and answer them. We don't attach your name, email or account ID, though the recordings themselves can identify you. Deepgram is told not to keep the recordings, and you can turn AI feedback off in the app at any time. Work content that managers and admins write or upload, such as lessons, announcements and listening exercises made from real calls, is also processed by these services, whatever your AI setting.
HighLevel (GoHighLevel), our recruiting and texting service, sends us new-hire details, gets back your app account ID and account status, and may send your app invitation text, receiving your name, mobile number, email, language and app account ID. It also receives job-candidate referrals you submit, with your name, app account ID, office and any note you add.
Capawesome delivers app updates. It receives a random app ID, app and phone software versions and your IP address, never your name or account.
You can delete your account in the app (Me → Delete my account). This deletes your login, contact details and settings, points and badges, practice recordings and conversations, Ask ADNM conversations and notifications right away. ADNM keeps your name, office, job details and preferred language with your work records, such as your HR file, training records, time off, shout-outs and survey answers, as the full app policy explains, and your managers are told that you deleted your account.

Children

This website is not directed to children under 13, and children should not submit information through it. A parent or guardian should book and provide information for a child's visit.
